APRIL 2011 Rally Meeting Minutes

The meeting was called to order on April 21, 2011 at 10:00 am by President Chuck Genrich. The following couples along with T.J. Ballard were in attendance: Cook, Bennett, Genrich, Severe, Nash, Carey, Mathis, Carlisle, Lynch and Sidebottom for a total of 21 people attending.

The Minutes of the previous meeting were approved. Carol Genrich gave the Treasurer’s report.

Chuck reported the following information from the FMCA National Governing Board:

     The chapter receives five free 1-yr. memberships each year that they can give to prospective members. The new members will not receive the two goose eggs that a dues paying new member receives. They will only receive an FMCA bumper sticker. Upon renewal of their membership, they will receive the two goose eggs and the regular subscription to the magazine.

     The annual rallies (now called Family Reunion & Motorcoach Showcase) have been reduced to one per year, with the following scheduled for the near future: Madison, WI (2011), Indianapolis, IN (2012) and Pomona, CA (2013).

The following chapter rallies have been scheduled for this year:

     May rally – Peculiar, MO, May 19-22 hosted by the Couches and the Stremming’s
     June rally – Topeka, KS, June 15-18 hosted by Ginny Weaver and the Sidebottom’s
     July rally – Branson, MO, July 21-24 hosted by the Nash’s
     August rally – FMCA 68th Family Reunion and Motorcoach Showcase in Madison, WI
     September rally – Six-State rally in Hutchinson, KS, September 28-October 1.
     October rally – Halstead, KS, October 2-5, All-Host rally

Elaine Sidebottom emphasized that the reservations for the June rally must be made 30 days before the rally. To help people make up their mind, the rally flyer will be coming out well in advance.

The following individuals were nominated and elected to the nominating committee: Wayne Cook, Gary Sidebottom and John Severe.

The Genrich’s and the Carey’s attended the Six-State Rally Association pre-planning session in Hutchinson, KS. They reported the following information to the chapter from the meetings in Hutchinson:

     HOAC will serve as one of the host chapters. We had 10 coaches volunteer to work at various tasks during the rally. Six-State gave the chapter a volunteer allocation of 7 coaches.
     HOAC selected Seminar volunteers (6 coaches), Evening Entertainment (1 person) and Commercial Registration (1 person). Seminars will be held on Thursday, Friday and Saturday.
     Chuck would like to have a pre-rally gathering on Sunday (Sept. 25th) at the rally grounds. Six-State will provide us with a room. Details to follow.
     All of our coaches, including the Mathes’ and the Lynchs are to arrive on Sunday (Sept. 25th) for the pre-rally. This will allow us to park together with full services. Training is on Monday. The rally starts on Wednesday.
     The Six-State Rally Assoc. will pay for Monday and Tuesday early arrival of the volunteer coaches. A motion was made for the chapter to pay for the one day early arrival (Sunday) of the seven volunteer coaches ($175). The motion passed. A motion was made and passed that the chapter will pay for a three day early arrival (Sunday) of at least three coaches to include the Mathes’ and Lynchs ($225). Approximate total cost is $400.
     There is a Saturday night dinner (Oct. 1st) that you can sign up for. Approx. cost is $16 per person. Must sign up for this and pay with you regular entry fees. Because of limited seating it is recommended that you do this ASAP.
     There is a volunteer dinner on Monday night paid for by Six-State.

A discussion was held on recruiting new members and the need for pursuing this vigorously. Several prospects are currently being pursued.

The Halsted, KS rally is scheduled for Oct. 1-5 and will be an all-host rally.
